This Privacy Policy explains how we collect, use, disclose, and protect information when you visit delvasystems.com, use IGS Patrol or another Delva Systems web or mobile application, communicate with us, or receive related support and services (collectively, the "Services").
By using the Services, you acknowledge the practices described in this Privacy Policy. If you use the Services through an employer, security company, property-management organization, or other Delva Systems customer, that organization may also have its own privacy notices and policies.
Customer-Controlled Information
Many Delva Systems products are provided to businesses and organizations. In those situations, the customer determines who may use the system, what information is entered, how operational records are used, and how long certain records should be maintained. Delva Systems processes that information to provide the Services and in accordance with the customer’s instructions and our agreements.
If your account was provided by your employer or another organization and you have a question about information associated with that account, you should contact that organization first. We may refer requests concerning customer-controlled information to the appropriate customer administrator.
Information We Collect
The information we collect depends on how you interact with the Services and may include:
- Contact and account information, such as your name, email address, telephone number, username, role, employer, and authentication information.
- Professional and workforce information, such as officer profiles, employee identifiers, assigned properties, access permissions, and operational responsibilities.
- Field and operational activity, such as patrol status, shift activity, checkpoint scans, timestamps, post-order acknowledgments, recent activity, and performance information.
- Location information, such as GPS coordinates, geofence events, and location associated with field activity or checkpoint verification.
- Reports and submitted content, including daily logs, incident reports, maintenance reports, master reports, vehicle checklists, photographs, notes, documents, signatures, and other uploaded material.
- Property and vehicle information, such as property records, emergency contacts, site documents, vehicle descriptions, license-plate information, and parking-enforcement records when those features are used.
- Communications, including messages, support requests, demonstration requests, feedback, and other information you send to us.
- Technical information, such as IP address, device type, operating system, browser, application version, device identifiers, login timestamps, diagnostic data, error logs, and security events.
How We Collect Information
We may collect information:
- Directly from you when you complete a form, use an application feature, submit a report, upload content, or contact us;
- From a Delva Systems customer or administrator who creates or manages your account;
- Automatically from your browser, device, or application when you use the Services; and
- From service providers and integrations used to operate or secure the Services.
How We Use Information
We may use information to:
- Provide, operate, host, maintain, and support the Services;
- Create accounts, authenticate users, and manage roles and permissions;
- Document and verify field activity, checkpoint scans, reports, and operational events;
- Provide location-based features, field visibility, geofencing, and activity history;
- Generate records, dashboards, analytics, notifications, and customer-requested reports;
- Respond to inquiries, provide onboarding and support, and communicate about the Services;
- Monitor reliability, troubleshoot errors, improve performance, and develop requested features;
- Protect accounts, investigate misuse, detect fraud, and maintain the safety and security of the Services; and
- Comply with legal obligations and enforce our agreements.
Location Information
Certain Delva Systems applications may collect precise location information when location-enabled features are used. Depending on the customer’s configuration and the permissions granted on the device, location may be collected while an authorized patrol or field activity is active, including in the background. Location information may be used for field tracking, geofence notifications, checkpoint verification, operational history, and safety or accountability features.
You can manage location permissions through your device settings. Disabling required permissions may prevent some operational features from working correctly. If you use the application through an employer, questions about required location use should be directed to that employer.
Cookies and Similar Technologies
Our website and applications may use cookies, local storage, session tokens, and similar technologies to keep users signed in, remember preferences, protect accounts, understand system performance, and operate the Services. Browsers and devices provide settings that may allow you to limit these technologies, although doing so may affect functionality.
Delva Systems does not sell customer operational data or use customer-controlled workforce records for targeted advertising.
How We Disclose Information
We may disclose information in the following circumstances:
- To customers and authorized administrators. Information may be available to the organization that provides or manages your account and to users it authorizes.
- To service providers. We may use providers for cloud hosting, databases, authentication, maps and location services, file storage, email and notifications, application distribution, customer support, diagnostics, and security.
- For legal and safety reasons. We may disclose information when required by law or when reasonably necessary to protect users, customers, Delva Systems, or the public; investigate fraud or abuse; or defend legal rights.
- In connection with a business transaction. Information may be transferred as part of a merger, financing, acquisition, reorganization, or sale of all or part of the business, subject to applicable law.
- With your direction or consent. We may disclose information when you or the relevant customer instructs or authorizes us to do so.
Data Retention
We retain information for as long as reasonably necessary to provide the Services, maintain business and security records, comply with customer instructions and contractual commitments, resolve disputes, enforce agreements, and satisfy legal obligations. Retention periods may vary based on the type of information, the customer’s configuration, and applicable requirements.
When information is deleted, limited copies may remain temporarily in backups or security records until those systems are updated, unless longer retention is required or permitted by law.
Security of Information
Delva Systems uses administrative, technical, and organizational safeguards designed to protect information against unauthorized access, alteration, loss, misuse, or disclosure. These measures may include access controls, authentication, encryption in transit, monitoring, backups, and restrictions on service-provider access.
No method of electronic transmission or storage can be guaranteed to be completely secure. Users are responsible for protecting their login credentials and for notifying us or their account administrator if they suspect unauthorized access.
Your Choices and Privacy Rights
Depending on your relationship with Delva Systems and where you live, you may have rights to request access to, correction of, or deletion of certain personal information, or to object to or restrict certain processing. Applicable law may provide additional rights and exceptions.

Email and Communication Preferences
You may opt out of promotional emails by using the unsubscribe method included in those messages or by contacting us. Even after an opt-out, we may send service-related communications, respond to an inquiry, provide requested support, or send notices concerning an account or the security of the Services.
Children’s Privacy
The Services are intended for businesses and authorized workforce users and are not directed to children under 13. Delva Systems does not knowingly collect personal information directly from a child under 13 through the Services. If you believe a child has provided personal information directly to Delva Systems, please contact us so we can review and address the matter.
Third-Party Services and Links
The Services may contain links to or integrate with services operated by other organizations. Their privacy practices are governed by their own notices and policies. Delva Systems is not responsible for the privacy practices or content of third-party websites and services that we do not control.
International Processing
Information may be processed and stored in the United States or other locations where Delva Systems or its service providers operate. Privacy and data-protection laws in those locations may differ from those in your place of residence.
